Accommodations Manager


Roles & Responsibilities:

1. Pre-Festival Preparation

  • Plan housing and tent allocation: Create a clear distribution system for attendees, staff, performers, etc.

  • Maintain direct communication with other teams for house and tent allocation.

  • Develop accommodation maps/charts: Clearly mark where each accommodation (House/Tent) is located.

  • Prepare check-in materials: keys, braces, tent numbers, rules, etc.

2. On-Site Accommodation Booth Management

  • Be present 2 days prior to the start of the festival,and set up staff accommodations and the accommodations booth. 

  • Welcome guests & manage check-ins: Distribute housing info, keys,collect ID’s, and answer questions.

  • Track arrivals and departures: Keep a real-time log to avoid confusion or overbooking.


3. During the Festival

  • Act as the main point of contact for accommodation holders.

  • Coordinate cleaning for accommodations if needed.

  • Respond to accommodation-related issues quickly (broken items, safety concerns, etc.) and coordinate with the appropriate department to fix the issue.

  • Coordinate with other departments like security or logistics when needed.

  • Report any suspicious behaviors to festival organizers. 

  • Handle issues on the spot: Room changes, lost keys, complaints, and report back to festival organizers.


4. Post-Festival Wrap-Up

  • Oversee check-outs: Collect keys, inspect tents/houses, and manage lost items and report damages.

  • Gather feedback from guests for future improvements.

  • Submit a final report on accommodation usage, issues faced, and recommendations.
