Accommodations Manager
Roles & Responsibilities:
1. Pre-Festival Preparation
Plan housing and tent allocation: Create a clear distribution system for attendees, staff, performers, etc.
Maintain direct communication with other teams for house and tent allocation.
Develop accommodation maps/charts: Clearly mark where each accommodation (House/Tent) is located.
Prepare check-in materials: keys, braces, tent numbers, rules, etc.
2. On-Site Accommodation Booth Management
Be present 2 days prior to the start of the festival,and set up staff accommodations and the accommodations booth.
Welcome guests & manage check-ins: Distribute housing info, keys,collect ID’s, and answer questions.
Track arrivals and departures: Keep a real-time log to avoid confusion or overbooking.
3. During the Festival
Act as the main point of contact for accommodation holders.
Coordinate cleaning for accommodations if needed.
Respond to accommodation-related issues quickly (broken items, safety concerns, etc.) and coordinate with the appropriate department to fix the issue.
Coordinate with other departments like security or logistics when needed.
Report any suspicious behaviors to festival organizers.
Handle issues on the spot: Room changes, lost keys, complaints, and report back to festival organizers.
4. Post-Festival Wrap-Up
Oversee check-outs: Collect keys, inspect tents/houses, and manage lost items and report damages.
Gather feedback from guests for future improvements.
Submit a final report on accommodation usage, issues faced, and recommendations.
